By registering for, attending, or participating in any conference organized by Forum Academica, participants acknowledge that they have read, understood, and accepted the terms described on this page.

Forum Academica operates as an academic conference organization dedicated to facilitating international scholarly communication. The organization is committed to maintaining high standards of academic integrity, intellectual rigor, and professional conduct across all academic events.

Conference Participation

Participation in Forum Academica conferences is open to researchers, clinicians, engineers, scholars, graduate students, and professionals engaged in academic or scientific work. Participants may attend conferences in various capacities, including presenting authors, keynote speakers, invited speakers, session chairs, or general attendees.

All participants are responsible for ensuring that the information provided during the registration process is accurate and complete. Forum Academica reserves the right to refuse or revoke registration in cases where inaccurate or misleading information has been provided.

Academic Responsibility

Authors and presenters are expected to adhere to established academic and ethical standards within their respective disciplines. Submitted abstracts and presentations must represent original scholarly work or appropriately cited research contributions.

Forum Academica reserves the right to withdraw acceptance of submissions or presentations if concerns regarding academic integrity, ethical compliance, or professional conduct arise.

Conference Program and Scheduling

Conference programs are developed to facilitate structured academic dialogue and scholarly exchange. While every effort is made to maintain the announced schedule, Forum Academica reserves the right to make reasonable adjustments to session formats, presentation times, and program structures when necessary.

Such adjustments may occur due to speaker availability, technical requirements, venue logistics, or other organizational considerations. Any modifications will be implemented with the objective of maintaining the academic integrity and continuity of the conference program.

Travel and Visa Responsibility

Participants are responsible for arranging their own travel, accommodation, insurance, and visa documentation where required. Forum Academica may issue official invitation letters to support visa applications; however, such letters do not constitute guarantees of visa approval.

Visa decisions remain the sole responsibility of the relevant immigration authorities. Forum Academica cannot intervene in visa decisions and cannot be held responsible for visa refusals or delays.

Intellectual Property

Authors retain intellectual ownership of their research and scholarly work. By participating in the conference, authors grant Forum Academica permission to include presentation titles, author names, and abstracts in conference programs, proceedings summaries, and academic communications related to the event.

Photography and Documentation

During conferences, photography or video recording may occur for documentation, academic reporting, and institutional communication. By attending the conference, participants acknowledge that such materials may be used in conference reports, promotional materials, and institutional documentation.

Limitation of Liability

Forum Academica shall not be liable for personal injury, loss of property, travel disruptions, visa refusals, accommodation issues, or other circumstances beyond the organization's reasonable control during conference participation.

Cancellation and Refund Policy

This policy outlines the conditions under which registration cancellations, refunds, or participation transfers may be processed for academic conferences organized by Forum Academica.

Registration Cancellation

All cancellation requests must be submitted in writing via email to the conference organizing office. The date on which the written request is received will determine eligibility for refunds.

  • More than 60 days before the conference: 75% refund of the registration fee.
  • 30 – 60 days before the conference: 50% refund of the registration fee.
  • Less than 30 days before the conference: Registration fees are non-refundable.

Administrative and financial processing fees associated with payment gateways or banking transactions may be deducted from any approved refund.

Visa Refusal

Participants who are unable to attend due to documented visa refusal may request transfer of their registration to a future Forum Academica conference or conversion to virtual participation if such option is available. Supporting documentation of the visa refusal may be required.

Presenter Withdrawal

If a registered presenter is unable to attend the conference, a co-author may present the work on behalf of the original author. Alternatively, the presentation may be converted to a virtual format if permitted by the conference program.

Conference Postponement

If a conference must be postponed due to circumstances beyond organizational control, including government regulations, natural events, or public health considerations, registrations will automatically be transferred to the rescheduled event.

Conference Cancellation

In the unlikely event that Forum Academica cancels a conference entirely, participants will receive a full refund of the registration fee or the option to transfer their registration to another Forum Academica event. Forum Academica shall not be responsible for external expenses including travel, accommodation, or visa application fees.
